Office Administrator

Pacific Portfolio is hiring for an Office Administrator. This position provides the opportunity to join the firm at a junior level, in support of our clients and associates, allowing the successful candidate the ability to learn wealth management from experienced team members in a boutique setting. 

Focus

  • Make clients, guests and employees feel welcome

  • Ensure front desk is attended at all times during normal business hours

  • Maintain the appearance of all common areas

  • Perform other administrative duties 

  • Assist associates with projects as needed

Responsibilities

  • Phones: answer and redirect incoming phone calls

  • Guest Services: greet and assist guests to the office in a professional, friendly and welcoming manner, notify guest contact, offer refreshments, validate parking

  • Mail Pick-Up and Distribution: Responsible for the distribution of incoming and outgoing mail

  • Shipping and Receiving: FedEx/UPS preparation/tracking and receive/track incoming packages FedEx/UPS mailings

  • Employee Services: conference room preparation and clean up; conference room calendar management

  • General Clerical Duties: binding and scanning client related materials; provide assistance to employees with various requests and ad hoc projects that may include creating, maintaining and editing documents, spreadsheets, files and presentations

  • General Administrative Duties: keep common areas, kitchen and workroom area clean; kitchen supplies and stocking; office supplies inventory management; troubleshooting office equipment, arranging for maintenance

  • Internal Event Coordination: assist with planning and coordinating office activities/events

Qualifications

  • Associate degree or equivalent combination of education and relevant experience 

  • Proficient user of Microsoft Office applications: Outlook, Word, Excel, PowerPoint 

  • Minimum of 1 year of work experience in a professional office environment
